What personal data we process on www.tailsit.com and when you request a license, why, and what rights you have.

Who is responsible

TailSiT GmbH, Nikolaiplatz 4, 8020 Graz, Austria, info@tailsit.com. For data protection questions, contact Jürgen Zechner.

Visiting the website

When you open a page, our web server records the request: IP address, date and time, the page requested, the referring page and your browser's user agent. We need this to deliver the site and to detect attacks. Legal basis: our legitimate interest in a secure, working website (Art. 6(1)(f) GDPR). See how long we keep data.

Apart from the opt-out cookie described under Analytics, the website sets no cookies. If you use the colour mode button in the menu bar, your browser stores that choice locally; it is not sent to us. Fonts, scripts and images are served from our own server.

Links to GitHub, LinkedIn and matrix.to take you to external services with their own privacy policies. Our forum has its own section below.

Analytics

We use Matomo to understand how the website is used, for example which pages are visited and which files are downloaded. Matomo runs on our own server; the data is not passed on to third parties. Matomo is configured without cookies and removes the last two bytes of your IP address before storing it. Legal basis: our legitimate interest in improving the website (Art. 6(1)(f) GDPR).

You can opt out of analytics here. Your browser then stores a small cookie that remembers your choice.

License requests

When you request a non-commercial license for POLARIS or D3PLOT2HDF5, we process:

  • your name, organization and email address, to issue the license and send it to you;
  • an approximate location (country, region, city and network provider), derived from your IP address with a local MaxMind GeoLite2 database. Your IP address itself is not stored;
  • your browser, operating system and device type, derived from the user agent. The full user agent string is not stored.

We use the location and device data to prevent misuse and to understand where our software is used. Legal basis: issuing the license you asked for (Art. 6(1)(b) GDPR) and our legitimate interest in preventing misuse (Art. 6(1)(f) GDPR). See how long we keep data.

The form is protected by Cloudflare Turnstile, which checks that the request comes from a person and not a bot. For this, Cloudflare, Inc. (USA) processes technical data such as your IP address and browser information. Legal basis: our legitimate interest in protecting the form from abuse (Art. 6(1)(f) GDPR). See Cloudflare's privacy policy.

The license email is sent from our server through the SMTP service of our email provider, STRATO, which keeps a copy of each sent email for one year. Our team is notified of new licenses on our own Matrix server; the notification contains only the license ID, product and country.

Forum

Our forum at discourse.tailsit.com runs on our own server, with the Discourse forum software. If you only read it, the section on visiting the website applies. If you create an account, we process:

  • your username, your email address, your name if you enter one, and your password in protected form;
  • your posts and profile, which other visitors can see;
  • the IP addresses from your registration and your last visit, and your activity in the forum.

We use your email address for the forum's notifications. The forum sets technical cookies that keep you signed in. Legal basis: providing the forum you signed up for (Art. 6(1)(b) GDPR) and our legitimate interest in protecting it from abuse (Art. 6(1)(f) GDPR).

To delete your account, write to info@tailsit.com. We then delete the account or anonymize it. Anonymizing removes your name, email address and profile picture, and your posts stay under an anonymous name. If you also want posts removed, tell us which ones.
